Milrose Consultants -- Proposal Specialist

Summary:          
Responsible for providing support to the assigned Partner(s) in our New York, Long Island, New Jersey, Connecticut and Philadelphia offices for proposal creation as well as ancillary support for RFP creation. The Proposal Specialist supports the organization in all aspect of proposal and change order duties. Proposal Specialists are to act within prescribed parameters to execute administrative policies determined by the firm.
 
This position reports to the Client Services Manager.
 
 Essential Duties and Responsibilities include the following, but are not limited to;
  • Work closely with assigned Partner(s), Executive Assistant(s) and internal project teams to format, decipher and produce proposals.
  • Assist in creating standards for our template environment inside the proprietary software system.
  • Ensue that consistency with various components of the process and proposals themselves are met, maintained and enforced.
  • Proofread and quality control all documents and associated work in correlation to the proposal process.
  • Review proposals with the Partner(s), Account Managers or Code Analysts for any corrections, additions/deletions and send finalized documents out to appropriate parties.
  • Maintain and ensure integrity of the database and spreadsheet files as related to proposals and other requested projects.
  • Timely follow up with the client for outstanding proposals and/or questions and clarity of the scope of work and execution of proposal in order to proceed with the fulfillment of services.
  • Management of “Cold Colds”
  • Assisting existing clients with “New Projects” – by vetting, reviewing & determining scope, receiving drawings (When available) & crafting the proposals.
  • Assisting new clients in understanding what Milrose offers related to their needs, insight and review of scope & crafting proposals.
  • Responding to client requests for updates on their project status when the team is unavailable or unresponsive.
Education and/or Experience;
  • Bachelor’s degree (B.A.) and a minimum of three to five years related experience and/or training; or equivalent combination of education and experience.
  • Experience in expediting, architecture, construction and/or a professional services environment are a plus.
  • A background in complex proposals or RFP’s is ideal.
  • Strong technical aptitude with advanced working knowledge of Microsoft Word is essential as is an affinity for complex database systems.
  • Superior organizational skills, a high level of prioritization, and the ability to multi-task are crucial. A strong attention to detail, accuracy and editing as well as exceptional communication skills are required.
